Quorum helps PTOs and nonprofit boards run meetings, track budgets, process reimbursements, and keep compliance records in one place.

The demo org is Maplewood PTO (/demo/). It is read-only: you can click through everything, but saves, uploads, and emails are disabled.

Recommended path: open the public org page first (what parents see), then click Access Dashboard for one-click sign-in as Karen (President / org admin).

2. View as a parent or member

On the public org page you will see:

  • Org name, logo, mission, and board officer names
  • Upcoming events and meetings (with agenda links and calendar options)
  • Community sponsor banners (when active)
  • Reimbursements tile opens the public submission form at /demo/submit

Published meeting minutes and bylaws can optionally appear here when enabled in settings. When shown, minutes are HTML pages (readable in the browser, with print). They are not PDF downloads on the public page.

3. Explore as a board officer

After entering the dashboard (one-click sign-in as Karen, the org admin and President), use the top navigation:

  • Dashboard: upcoming items, budget summary, sponsor review alert (when a sponsor is awaiting approval and you have permission)
  • Meetings: draft → ready → active → closed workflow (actions are view-only in demo)
  • Calendar: board events + meeting dates; public calendar at /demo/events
  • Budget: income/expense lines for the fiscal year
  • Reimbursements: inbox for users with approve permission (pending + history)

Compliance, Users (admin only), and Sponsorship are under Account → Organization settings (not in the top nav). The demo includes two active community sponsors on the public page plus one paid application awaiting review in Sponsorship settings.

Switch board member using the green demo banner. Signed in as shows your current persona (white pill with a checkmark); Switch to lists the other members as dashed links. Each persona has different permissions; you can browse every page, but action buttons only appear when that member would have access in a real org:

  • Karen · President: org admin; all settings and actions (President is her public officer title)
  • Tom · Treasurer: approve reimbursements, edit budget, approve/decline sponsors
  • Jennifer · Secretary: edit and publish meeting minutes (no reimbursement or sponsor actions)
  • Mike · VP: run meetings and approve/decline sponsors (no budget or reimbursement approval)
4. Meetings workflow

Meetings move through four statuses. Sample data in the demo:

  • Fall General Meeting and Winter Budget Review: closed, with published HTML minutes and vote summaries
  • End-of-Year Planning Meeting: ready (locked agenda; shareable check-in link; not yet run)

Open a closed meeting to see agenda items, attendance, votes, and minutes. On a real org you would:

  1. Build the agenda in draft
  2. Lock it as ready and share the public agenda link
  3. Run the meeting live (active): check-in, voice votes, roll-call votes
  4. Close the meeting to auto-draft minutes, then edit and publish

Public agenda: share from meeting detail. Public minutes: HTML at /demo/minutes/{id} after publish.

5. Budget & reimbursements

Budget: see allocated vs. spent per line. Users with the budget permission can add lines and edit spent amounts. Approving a reimbursement automatically increments spent on the linked line.

Reimbursements: the demo includes one pending submission (Sarah Johnson, spring carnival supplies) and two approved items in history. Users with approve permission (Tom as Treasurer, Karen as admin) can approve or reject with a note; submitters receive email in a real org (disabled in demo).

Members submit at /demo/submit (no login required).

6. Compliance & documents

Open Account → Organization settings → Compliance (or go to /demo/compliance when signed in).

  • Officer statements: annual acknowledgment forms; send tokenized links; track who signed; download signed PDFs
  • Document vault: bylaws, 501(c)(3), insurance uploads
  • Past Minutes (PDF): auto-generated when minutes are published; for board records and audits. These PDFs stay in compliance, separate from public HTML minutes
  • Share / Copy / Revoke: optional public links for individual compliance documents
7. What demo mode blocks
  • All saves, uploads, deletes, and form submissions return a view-only message
  • No emails are sent (invites, reimbursements, agendas, statements, etc.)
  • Data resets only when the demo org is re-seeded. Your clicks do not persist
